Frequently Asked
How do I backup my AutoCount data?
In AutoCount Accounting go to Tools → Backup (or File → Backup in older versions), choose your account book and a backup location, and keep the .bak file somewhere safe. Do this daily, and always keep at least one copy OUTSIDE the computer (external drive or cloud) so a disk failure cannot take both your data and your backup. See the official 'Backup' help file for details. If you want an automatic daily backup arrangement, E Cube can set this up for you.
How do I restore an AutoCount backup?
Restore is done from the AutoCount backup (.bak) file via the Restore function — you can restore into a NEW account book to avoid overwriting current data. Be careful: restoring over a live account book replaces everything after the backup date. If the restore fails, the backup file is old, or you are not sure which book is correct, stop and get help — a wrong restore can lose data permanently. E Cube provides paid remote support for safe restore.
How do I set up e-Invoice in AutoCount?
Broad steps: 1) register your company on LHDN MyTax / MyInvois portal; 2) in AutoCount, configure the e-Invoice module (AutoCount AIP) which submits documents to MyInvois; 3) complete company profile, TIN and MSIC settings; 4) test submission. AutoCount's official e-Invoice Resources Center has step-by-step videos, and the MyInvois Portal General Guide PDF covers the LHDN side. For the initial setup and configuration our software partner can assist (chargeable).
AutoCount POS receipt printer is not printing. What do I check?
Quick checks: printer power and cable, paper roll, and that Windows shows the printer online (not paused/offline). In AutoCount POS check the receipt printer is selected in the POS printing setup, and do a Windows test print first — if the test print fails, it is a hardware/driver issue, not AutoCount. Receipt printer setup and troubleshooting is E Cube's specialty — we support this remotely or on-site across Johor.
How do I set up the cash drawer in AutoCount?
Cash drawers normally connect through the receipt printer's RJ11 port and open using a 'kick' command sent with the receipt. In AutoCount the printer and cash drawer are configured in the Cash Sale / POS printing setup — see the official 'Setup printer & cash drawer in Cash Sale' help file. If the drawer does not open, the cable, printer port setting or drawer command usually needs adjusting — E Cube can set this up for you.
How do I use a barcode scanner with AutoCount?
Most USB barcode scanners work as a 'keyboard' — plug in, scan into any text field to test. In AutoCount enable the barcode input function (see the official 'How to enable Barcode input' help file) and make sure your stock items have the barcode filled in Stock Item Maintenance. Scanner configuration (adding Enter suffix, scan mode) is a hardware-side setting — E Cube supplies and configures barcode scanners.
How do I add a new member in AutoCount POS?
At the POS frontend you can create a new member directly (shortcut Ctrl+M at the search-member screen in POS 5 / FnB). Member records and member pricing are maintained in the backend under Member Maintenance and Member Price Maintenance. See the official help files for both. If you want member numbers to auto-run or member price rules configured, our software partner can assist.
AutoCount says 'server was not found or was not accessible'. What does it mean?
This means the AutoCount workstation cannot reach the SQL Server database — common causes: the server PC is off, SQL Server service stopped, network/LAN issue, or firewall blocking. First try restarting the server PC. This type of problem usually needs hands-on network checking — E Cube handles server, LAN and firewall issues (paid remote or on-site support).
AutoCount login error: fail to connect AutoCount Server Service.
Usually a network/service issue between your PC and the AutoCount server: the server service is not running, ports are blocked by firewall, or the LAN connection dropped. The official troubleshooting FAQ lists the firewall/port exceptions needed. If you are not comfortable with services and firewall settings, E Cube can fix this remotely.
AutoCount license error: product ID is used by another device.
This happens when the license was activated on a different or replaced PC. AutoCount allows clearing the old hardware ID from the license portal a limited number of times per year — see the official license FAQ. If you changed computers or reformatted, this needs to be handled carefully; our software partner or the vendor can assist with license transfer.
How do I export AutoCount reports to Excel?
Most AutoCount grids and reports can export to Excel. If export fails or the option is greyed out, it is usually an access-right setting for your user — see the official troubleshooting FAQ 'Unable to export grid content to excel'. Custom report design (new layouts, special formats) is chargeable work our software partner handles.
Where can I learn AutoCount for free?
AutoCount Academy (academy.autocountsoft.com) is the vendor's free self-learning portal with structured courses, and the official AutoCount YouTube channel has tutorial videos. The AutoCount Resource Center wiki is the official help file and FAQ library. All three are linked on this page.
Does my AutoCount version support e-Invoice?
e-Invoice support depends on your AutoCount version and whether the e-Invoice/AIP module is enabled — older versions need upgrading. Check the official AutoCount e-Invoice page for supported versions, or ask us to check your installation and advise the upgrade path (we can refer software upgrade work to our partner).
How do I set reorder levels for stock in AutoCount?
In Stock Item Maintenance each item has minimum quantity / reorder level fields, and reports can then show items below reorder level. See the official Stock Item Maintenance help file. Setting up a sensible reorder workflow for your business is something our software partner can advise on.
My AutoCount is very slow. What could be wrong?
Common causes: server PC low on disk/RAM, database grown large without housekeeping, network bottleneck, or antivirus scanning the database files. Diagnosis needs hands-on checking of the server and network — this is E Cube's territory (paid remote or on-site check, estimated RM80–RM200 depending on findings).
Hardware, network or POS peripheral issue?
Computer, server, receipt printer, barcode scanner, cash drawer, LAN, WiFi, router, backup arrangement — E Cube provides paid remote and on-site support across Johor.
Software configuration or accounting setup?
Accounting setup, e-Invoice configuration, custom reports, database or license issues — we can refer you to our software partner for professional assistance.
